Ataana Visits
Account & Data Deletion

Ataana Visits is a private workforce app. Accounts are created and issued by Ata&Ana for its employees and contractors — you cannot register for one yourself, and there is no public sign-up. Deleting your account removes your ability to sign in; it does not remove the care and billing records that Virginia and federal law require Ata&Ana to keep.
How to request deletion
You can request deletion whether or not you still have the app installed, and whether or not you can still sign in.

Please include your full name and your employee ID or the email address associated with your account so we can verify your identity. If you no longer have that information, contact us anyway and we will verify your identity another way.
You can request either one
Delete my account — your login is disabled and your access credentials are erased. You will not be able to sign in again unless Ata&Ana issues you a new account.
Delete my personal data — everything above, plus erasure of all personal data we are not legally required to retain (listed below).
Tell us which you want. If you do not specify, we will treat it as a request to delete both.
What we delete
Your login credentials (employee ID and password)
Your app session tokens, so any signed-in device is signed out
Device and technical identifiers associated with your use of the app — device model, operating system version, IP addresses in our access logs
Your app notification preferences
Any support correspondence not needed for a legal or safety record
What we must keep, and why
Ataana Visits creates medical records and Medicaid billing records. Federal and Virginia law require these to be retained, and that obligation does not end when your employment or app access ends. We keep the following for 7 years:
Visit records
7 years
Dates, scheduled and actual check-in/check-out times, and the GPS location captured at check-in and check-out. Electronic Visit Verification is federally mandated (21st Century Cures Act) and audited by Virginia Medicaid (DMAS).
Care documentation
7 years
Daily activities recorded, observation responses, and shift notes. Part of the client’s medical record under HIPAA.
Electronic signatures
7 years
Yours and the client’s. Proof the visit occurred; required for claim substantiation.
Your name and employee identifier
7 years
As they appear on those records. A care record without an identified caregiver is not a valid record.
Payroll and tax records
7 years
Hours, pay, and related tax documentation. IRS and Virginia employment law.
We do not keep this information for marketing, and we do not sell it. Retention periods run from the date of the record, not from your deletion request, and may be longer where an audit, investigation, or legal hold applies.
After deletion
Once the retention periods above expire, the remaining records are deleted or de-identified on our normal retention schedule. You do not need to make a second request.
